Why don't the hours add up on the reports?

There is a short answer and a long answer to this question.


The short answer: They do.


The long answer: The reason they don't seem to add up is a matter of perspective.  In order to provide the most concise and accurate reports, is to reflect the minute as the smallest unit of measure.  To explain, let's examine the week's work for an imaginary employee:

Mon: 3:10
Tue: 6:12
Wed: 3:28
Thu: 4:48
Fri: 2:27
Sat: 4:10

Report total says:  24:15

The numbers are HOURS and MINUTES.  If they were fractions of an hour, they would be listed more like 3.10 rather than 3:10.

In any case, when you add up JUST the minutes, it comes to 135 minutes (2 hours and 15 minutes).  When you add up just the hours, it comes to 22 hours.  22 hours plus 135 minutes equals 24 hours and 15 minutes, hence the 24:15.

 

Now that we've shown the math, there are additional features in Punch Clock to make this easier to understand.

 

1) Changing the way Punch Clock displays these numbers

Start Punch Clock and press F2 to go into the Manager Menu.  Click on Maintenance -> Program Configuration.  Click on the setting named 'Report Time Display" and click EDIT.

Under 'Setting Value', choose NORMAL to display 3 hours and 10 minutes as "3:10", or NOTATED to display the same as "3h 10m".

Choose SAVE to save these changes.


2) Configure the Payroll Report to show decimal numbers

Start Punch Clock and press F2 to go into the Manager Menu.  Click on Maintenance -> Program Configuration.  Click on the setting named 'Display Decimal Time" and click EDIT.

Under 'Setting Value', choose TRUE to add a new column to the reports showing the time in Decimal Value (3 hours and 15 minutes will show as: 3.2500), or FALSE to suppress the extra column.
